Operations Manager

Part-Time | 20–25 hours per week | Hybrid (on-site and remote)

The Folkmoot Center of the Arts is seeking a highly organized, detail-oriented Operations Manager to oversee daily administrative, operational, and facility functions. This role is central to keeping our programs, events, and internal systems running smoothly while supporting a welcoming environment for staff, artists, volunteers, and community partners.

This position reports directly to the Executive Director and is authorized to make routine operational decisions related to scheduling, vendors, volunteers, and daily facility needs.

Key Responsibilities

Project, Program, and Event Operations

  • Manage performance schedules and event logistics, including contracts and space setup

  • Assist with development and maintenance of the annual Master Schedule of Events

  • Coordinate with the Volunteer Coordinator to recruit, schedule, and communicate with volunteers

  • Ensure timely and accurate communication with the Executive Director and Marketing Director regarding all event logistics

Administrative Office Management

  • Maintain accurate organizational files, databases, and digital systems

  • Manage daily mail and general correspondence

  • Maintain office supplies, printers, and basic administrative needs

  • Update and maintain internal and public calendars for events, rentals, and facility use

  • Support the Executive Director with special projects and operational tasks

  • Participate in staff meetings and internal coordination meetings as scheduled

  • Ensure external communications follow Folkmoot branding and communication guidelines

Financial and Executive Support

  • Forward checks, timesheets, invoices, receipts, and supporting documents to the offsite bookkeeper

  • Maintain a daily check log and organized HR and financial records

  • Track incoming donations and forward documentation for entry

  • Assist with audit and grant preparation as requested

  • Prepare Board meeting agendas with the Executive Director

  • Attend Board meetings when possible and take detailed notes with assigned action items

Facilities and Vendor Coordination

  • Coordinate building maintenance and repairs with vendors and staff

  • Monitor daily facility needs and maintain organized shared spaces

  • Route tenant and partner requests according to facility-use policies

  • Assist with facility needs for partner programs as appropriate

Required Skills and Qualifications

  • Demonstrated strong project management, planning, and prioritization skills

  • Proven ability to maintain confidentiality and handle sensitive information with discretion

  • Excellent written and verbal communication skills

  • Strong organizational and leadership abilities

  • Ability to work calmly and professionally in a fast-paced environment

  • Ability to work independently and as part of a collaborative team

  • Experience managing or coordinating volunteers

  • Proficiency in Google Workspace or a comparable office suite

Work Schedule

  • 20 to 25 hours per week

  • Hybrid schedule with both on-site and remote work

  • Evening and weekend hours required during events and programs
